Bookkeeping Cleanup: Building an Evidence-Based Opening Balance
A practical guide for Bali villa owners to reconstruct opening balances from bank records, asset evidence, owner funding and unresolved transactions without guessing.
By Bali Accounting editorial desk · Editorial updated 2026-10-23. General information, not a claim of licensed professional review.
In bookkeeping cleanup, an opening balance should be reconstructed from dated evidence, not copied from an unexplained spreadsheet or estimated to make the trial balance agree. For a Bali villa, begin with bank statements, booking and management records, supplier documents, asset information, loans, owner funding and prior reports. Record what is supported, isolate what is uncertain, and give each unresolved item to the responsible accounting or tax adviser for a documented decision.
What an opening balance is—and why it matters
An opening balance is the amount assigned to each account at the start of the period being brought into a reliable bookkeeping system. It may include bank and cash balances, guest receivables, supplier payables, owner funding, loans, property-related assets, accumulated results and other balance-sheet accounts. It is not simply the first bank balance you can find.
For a villa, the opening position often sits across several sources. A manager may hold booking deposits, an owner may have paid suppliers personally, and a bank account may contain money belonging to more than one property. Equipment may have been purchased without an asset register. Prior reports may show a profit but no clear distinction between an owner withdrawal and an operating cost.
The objective of cleanup is therefore an evidence trail. Someone reviewing the work should be able to see the source document, the date, the amount, the account selected, the property or entity affected, the reasoning for the treatment and any remaining question. A balanced set of accounts is useful only when its figures can be explained.
Who this applies to
This guide applies to Bali villa owners, managers and companies that are changing bookkeepers, introducing accounting software, bringing several properties into one reporting system, or preparing historical records for management review. It is particularly relevant where records include cash payments, OTA payouts, management deductions, personal-card purchases, informal owner advances or several currencies.
It does not decide Indonesian tax, legal ownership, depreciation, foreign-exchange, licensing or entity questions. Those matters require the responsible authorised person. Bookkeeping preparation and any submission work are separate engagements; they are not automatically included in a monthly bookkeeping service.
Build the evidence file before posting entries
Start by defining the opening date. Do not mix a calendar-year opening with the date a new bank account was opened, the date a new manager took over or the date a company began trading. Write down the chosen date and the reason. Then create an evidence index with a reference number for every file.
- Cash and bank: obtain statements covering the opening date, identify the account holder and currency, and note transfers between accounts.
- Bookings and platforms: collect reservation reports, payout statements, refunds, cancellations, commissions and management statements. The reservation value is not automatically the bank receipt.
- Supplier and operating records: gather invoices, receipts, contracts and payment confirmations for utilities, repairs, cleaning, supplies and professional services.
- Owner activity: separate capital contributions, loans, reimbursements, private spending, withdrawals and payments made on behalf of the villa. Ask for dates and descriptions rather than relying on memory.
- Assets and obligations: list furniture, equipment, fit-out spending, deposits, loans, unpaid bills and amounts owed to or by related parties, with supporting documents where available.
- Prior reporting: retain earlier ledgers, trial balances, management statements and signed or approved reports. Treat them as evidence to test, not as proof that every classification is correct.
Preserve the original files. A clean-up folder should contain the source document, a working copy if needed, the proposed entry and a question log. Use consistent file names such as date, supplier, amount and reference. That simple discipline prevents a later reviewer from having to search through chat messages to understand a posting.
Use an account-by-account status
Give each proposed opening figure a status: supported, partially supported, management-confirmed, or unresolved. “Management-confirmed” means an owner has explained the transaction; it does not mean an invoice or bank record exists. An unresolved balance should remain visible in the question log instead of being hidden in revenue or miscellaneous expense.
For each item, record the source, date, currency, amount, proposed account, property, counterparty and explanation. If the evidence conflicts, retain both documents and describe the conflict. Do not overwrite an older figure simply because the newer one appears more convenient.
A practical reconstruction workflow
- Freeze the scope. List the entity, properties, accounts, currencies and opening date. Confirm whether the work covers bookkeeping records only or also a separate adviser review.
- Reconcile known cash first. Agree each bank and cash balance to a statement or count at the opening date. Explain deposits in transit, uncleared payments and transfers between accounts.
- Map income timing. Compare bookings, management statements, platform payouts and bank receipts. Mark stays or deposits that cross the opening date rather than forcing every amount into one period.
- Identify unpaid and prepaid items. Search invoices and contracts for services received but unpaid, deposits paid before service, guest deposits and other amounts that may not belong entirely to the new period.
- Separate owner and business movements. Trace personal payments, reimbursements, withdrawals and advances. Do not label an unexplained transfer as income merely because it increased the bank balance.
- Reconstruct assets and liabilities. Use purchase invoices, payment records and available agreements. If the cost or ownership cannot be supported, put it in the unresolved log and ask the responsible adviser what evidence is needed.
- Post proposed entries. Enter only what the evidence supports. Use a clearly identified suspense or review account only as a temporary, documented holding place—not as a permanent answer.
- Review the opening trial balance. Confirm that debits equal credits, then test whether each material balance has a source and an explanation. A mathematical balance is the beginning of review, not the end.
Illustrative IDR worked example: selected balances, not a complete trial balance
Assume a villa owner is reviewing records at an opening date. A bank statement supports IDR 42,000,000 in the business bank account. A supplier invoice supports a separate unpaid cleaning obligation of IDR 2,000,000. The owner also supplies evidence of a personal payment of IDR 6,500,000 for a villa repair, with a written request for reimbursement that still requires confirmation against the ledger and the agreed owner-funding arrangement. These are selected evidence items, not a complete opening balance sheet or trial balance.
For a limited cash-planning illustration only, setting aside the IDR 2,000,000 supplier payment from the stated bank balance leaves IDR 40,000,000: IDR 42,000,000 minus IDR 2,000,000. If management separately confirms and approves paying the IDR 6,500,000 owner reimbursement from that same account, the arithmetic leaves IDR 33,500,000 before all other receipts, payments, restrictions and obligations: IDR 40,000,000 minus IDR 6,500,000. This is not a measure of profit, net assets or freely distributable cash. The full ledger may contain other balances not shown here.
An additional IDR 3,000,000 owner withdrawal appears to have been included in a prior expense total. Flag it for review; do not construct a correcting journal from the bank line alone. Establish the original posting, the purpose of the withdrawal, the relevant accounting period and whether that period remains open. If an expense is still open, its reclassification must address that original expense entry; if it has already been closed into prior-period results, any opening adjustment requires a separate review of those closed balances. This example proposes no journal entry or tax treatment for that withdrawal.
The owner-funded repair needs its own evidence trail and decision about reimbursement, funding and expense or asset classification. Those decisions cannot be inferred from the selected cash-planning arithmetic. Opening equity and accumulated results must come from a supported reconstruction of the complete records, not a balancing figure invented from these few items. This is general bookkeeping information, not tax advice.
| Area | Evidence to collect | Control question | Status example |
|---|---|---|---|
| Bank | Statement at opening date | Does the ledger equal the statement? | Supported |
| Owner payment | Receipt, bank proof and explanation | Was it business spending, a loan or capital? | Management-confirmed |
| Supplier payable | Invoice and service date | Was the service received before opening? | Partially supported |
| Equipment | Invoice, payment and location | Can the item and cost be identified? | Supported |
| Platform payout | Reservation and payout report | Do booking, deductions and receipt reconcile? | Unresolved |
What owners get wrong
1. “If the trial balance agrees, the opening balance is correct.”
Correction: balancing only proves that the debit and credit sides are equal. It does not prove that a personal transfer was not recorded as revenue, that a payable was not omitted, or that an asset belongs to the entity. Require a source and explanation for each material balance.
2. “The previous accountant’s closing balance can be imported without review.”
Correction: use the prior records as a starting point, then test them against current bank statements, contracts, invoices and owner explanations. Carry forward a clear balance with its evidence. Flag unsupported balances rather than giving them a new account name and treating them as resolved.
3. “Every unexplained difference should go to expenses.”
Correction: an unexplained difference may represent owner funding, a loan, a transfer, a timing issue, a missing asset, a receivable or an error in another account. Put it in the review log, identify possible alternatives and obtain a documented decision from the responsible adviser or authorised management.

Owners who need structured assistance can review Bali villa bookkeeping cleanup. A cleanup engagement should specify the periods, accounts, deliverables, evidence responsibilities and whether any authorised tax or submission work is separately included. For broader context, compare the process with cleaning up two years of messy villa books, building a practical villa chart of accounts and documenting PT PMA owner funding.
If the evidence pack has material gaps, a Client Advisory conversation can help define the bookkeeping scope and the questions that should be referred to the responsible authorised person. This is not an automatic inclusion in monthly bookkeeping, and preparation or submission work requires a separate engagement.

Frequently asked questions
Should I use the bank balance as my only opening balance?
No. The bank balance is one opening account. You should also investigate receivables, payables, owner activity, assets, loans, deposits and timing differences so the full financial position is supported.
What if an owner cannot find an old invoice?
Record the missing document, preserve alternative evidence such as bank proof or supplier correspondence, and label the balance as partially supported or unresolved. Do not invent an invoice or silently classify the amount as an expense.
Can a bookkeeping cleanup decide whether an owner payment is capital or a loan?
Bookkeeping can organise the evidence and present the alternatives. The owner, entity records and responsible adviser must determine the appropriate treatment based on the governing documents and facts.
How should several Bali villas share one opening balance?
Do not allocate a shared amount without a documented basis. Identify the paying entity, property benefit, date and source, then use an agreed allocation method and retain the calculation for review.
Is an unresolved balance acceptable at the end of cleanup?
It can be, if it is clearly identified, supported by a question log, assigned to someone for resolution and not misrepresented as a confirmed result. The handover should state what remains open and why.
