How the monthly close works

From source documents to a monthly villa report.

Agree the document handover, reconcile booking and bank records, then review the report and open questions. Owners and operators retain control of accounts, payments and decisions.

01 / PROCESS

Agree the scope

Confirm properties or records, channels, document sources, reporting period and responsibilities.

02 / PROCESS

Collect source records

Owner or manager provides agreed statements, booking exports, invoices and schedules in the agreed workflow.

03 / PROCESS

Reconcile and review

Transactions are organized; differences and missing evidence become a question list.

04 / PROCESS

Share the month

Deliver the agreed report and schedules. The 15th is a target after complete and timely source documents.

Why a reconciled record matters

A manager summary is useful. It is not the full record.

A monthly process keeps supporting documents, consistent categories and unresolved questions visible together. It helps people review the period without mistaking cash movement for operating performance.

We do not claim a particular client outcome or savings figure. Examples on this website are illustrative only.

Separate the movements

Booking value, platform fees, refunds, deposits and owner transfers are distinct parts of the picture.

Keep evidence attached

Invoices, source exports and notes help a reviewer understand where a figure came from.

Make exceptions explicit

Unmatched deposits and missing receipts become follow-up items rather than hidden assumptions.

Prepare a handover

Agreed schedules can help an owner share organized records with a licensed tax adviser.

Clients we work with

Villa owners and operators across Bali.

Meet six villa operators we work with. These collection descriptions explain their businesses and the bookkeeping questions different portfolios can create.

Listed collection sizes describe the operators’ portfolios, not the number of properties managed or serviced by Bali Accounting. These are business descriptions, not quoted testimonials or claims of financial results.

Fictional bookkeeping example

A monthly close for six separately owned villas.

This scenario is made up. It is not a client case study or a finding about any operator listed above. In this illustration, one management company manages six villas on behalf of their separate owners.

The assumed spreadsheet problem

The example spreadsheet treats every guest receipt as company sales and every owner payment as a company expense. It also combines costs from all six villas. That presentation hides each owner’s property performance and obscures the company’s own management activity.

A clearer owner-by-owner view

Reconcile each booking to its platform payout and bank receipt. Show each owner their villa’s guest revenue, refunds, platform fees, operating costs, management fee and payout. Keep company overhead in a separate company report, with shared costs allocated on an agreed, documented basis.

Keep invoices linked to each transaction and flag routine repairs separately from larger improvements for qualified review. Actual revenue recognition and cost treatment depend on the contracts, entity structure and professional advice; this example does not determine tax or statutory accounting treatment.

For owners and operators

Different roles. A shared need for dependable records.

Remote owner

Review booking activity, expenses and cash movements when you are not on the island. A documented question list gives a manager conversation a useful starting point.

Villa operator

Keep channel exports, supplier documents and payroll records organized across an agreed monthly close and handover.

PT PMA records

Organize entity transactions and owner funding into schedules for an owner's review and licensed tax-adviser handover.

Airbnb & OTA reconciliation for Bali villas

Airbnb, Booking.com, Agoda and VRBO payouts rarely equal gross booking revenue. Platform fees, refunds and timing differences must be reconciled against your bank before you can rely on the numbers. We work from your booking exports and statements—not a claimed direct integration—so the source of every figure stays visible.

Monthly villa owner reporting

A bank balance alone does not show whether a villa earned a profit. Our monthly reporting connects the P&L, cash movements, owner funding and open questions so you can review what changed and why. Reports are management information, not filed tax returns, and the 15th is a target after complete source documents.

Villa payroll & BPJS record tracking

Staff costs belong in your monthly books only when they connect to an approved payroll schedule and supporting records. We track supplied documents and flag missing items. This is record tracking—not payroll execution, BPJS administration or employee-tax filing.

Bali villa bookkeeping for owners living overseas

A busy booking calendar does not tell an overseas owner whether a villa has earned a profit or collected its expected cash. Rental property bookkeeping brings the booking records, channel statements, bank transactions and supplier invoices into one reviewable monthly process. It gives you a basis for questions about costs, outstanding payouts and owner withdrawals, without relying on a single spreadsheet total.

The practical starting point is your operation: a privately owned villa, several rental properties or a management company acting for different owners. Agree which properties and accounts the books cover, who supplies each document and how unresolved items are recorded. A shared operating team does not mean every property's income and costs should be combined without explanation.

Rental income, operating profit and cash flow answer different questions

Booking revenue describes rental activity. A management P&L compares that activity with agreed costs. Cash flow explains what arrived in or left the accounts. Platform settlement delays, supplier payment dates, owner funding and withdrawals can make these views differ. A useful owner report explains the differences rather than presenting a bank balance as profit.

Our service pages explain the source records, review process and limits for each type of work. Start with Airbnb and OTA reconciliation if settlements are unclear, historical cleanup if older records are incomplete, or monthly financial reporting if the numbers exist but are difficult to interpret.
