Villa Financial Reporting in Bali: P&L and Cash Flow

Monthly villa financial reporting explains rental income, operating expenses, profit and cash flow—not just the closing bank balance. Bali Accounting prepares a management pack from your supplied records, with profit-and-loss reporting, agreed schedules and clearly identified questions for owner review.

Who it helps

Villa financial reporting for owners and operators

Owners living remotely, villa managers who need a consistent handover, and operators who want period-by-period records rather than a bank balance alone.

The questions this service addresses

A cash balance cannot explain which month earned the revenue, what costs relate to operations, or whether an open booking payout or owner movement changed cash.

What may be included

  • Monthly profit-and-loss view based on the records supplied
  • Relevant balance schedules and reconciled cash movements by agreed scope
  • Booking-channel view and payout reconciliation where included
  • Payroll schedules and BPJS record status where applicable to package scope
  • Open questions and missing-document notes for owner or manager review

What to prepare

Useful inputs for a first review

We agree an appropriate, practical document handover after the initial scope conversation. The public enquiry form is only for contact details and a high-level description—please do not upload financial records there.

  • Bank and cash records, platform activity and direct-booking schedules
  • Supplier invoices, receipts and operating cost information
  • Owner funding or withdrawal notes where applicable
  • Payroll schedules and supporting records if those are in scope

How to read a simple month

If booking activity produces Rp 98,000,000 after Rp 2,000,000 of refunds, and platform charges are Rp 15,000,000, the report can show those lines separately. If operating costs are Rp 52,000,000, the illustrative operating result is Rp 31,000,000. A bank receipt of Rp 80,000,000 can still differ because Rp 3,000,000 has not arrived yet. Owner funding and drawings are shown as cash movements, not operating revenue or expense.

Workflow and timing

From records to review

  1. 01Agree reporting needs, source records, periods and responsibilities.
  2. 02Collect documents in an agreed shared workflow.
  3. 03Code and reconcile the period, documenting exceptions.
  4. 04Deliver the report and question list for owner or manager review.

Timing: The 15th is a reporting target only when source documents are complete and received on time. Late records, unresolved questions or complex reconciliations can change delivery timing.

Price and boundaries

Agree the basis before starting

Packages are Rp 2,900,000, Rp 4,900,000 and Rp 6,900,000 per month, with different reporting inclusions. Review the comparison page and confirm exact scope and price basis before agreement.

  • Reports are management information, not audit opinions or official tax statements.
  • Tax advice and filing support require a separate tax-compliance engagement; they are not included in this reporting package.
  • No control of client bank accounts or payment authority is included.

Is a P&L the same as cash in the bank?+

No. The page explains the difference using fictional example numbers.

What should a monthly villa financial report explain?

Start with the properties, reporting period and source records included. A useful monthly owner report separates rental revenue, channel fees and operating expenses, then explains why profit differs from cash in the bank. Owner funding, withdrawals and transfers need their own supporting schedules rather than being hidden inside income or costs.

Where agreed, compare results with a budget or earlier period using consistent categories. Investigate changes in supplier costs, booking-channel mix and collection timing before making a decision. The sample report demonstrates occupancy, ADR, RevPAR and cash-flow scenarios; it is not a promise that every package includes every analysis.

Still deciding between options? The comparison sets out what each model produces, and where it breaks.

Discuss your setup

Read the monthly P&L alongside the cash movement schedule

Check the report's period and property coverage before comparing income or costs. Then review rental activity and channel fees, followed by supplier and staff expenses. Read the cash movement schedule separately: owner contributions, withdrawals, transfers and settlement timing can change the bank balance without describing the villa's operating performance.

An unusual expense deserves a source-document review before a conclusion. A larger maintenance line could reflect several invoices arriving together, a one-off repair or work requiring separate assessment. Ask which invoice and property each item belongs to. For professional accounting or tax treatment, refer the underlying facts to the qualified adviser responsible for that decision.

Property-by-property reporting and useful variance questions

When several villas share a team, compare each property's activity using consistently labelled revenue and cost categories. Document how shared invoices are allocated and keep the management company's overhead separate where the agreed structure requires it. A combined total may be useful, but it should not prevent an owner from understanding their own villa.

Budget comparisons, channel analysis and forecasts are useful only when their inputs and assumptions are explained. Confirm which views your selected package includes. Occupancy, ADR and RevPAR in the sample are illustrative measures, not evidence of a particular client's returns or a forecast of Bali market performance.

Rental property bookkeeping and owner reports

Useful rental property bookkeeping keeps each property and owner distinct. Read profit and loss alongside owner contributions, cash movements, refundable balances and amounts payable; a bank balance alone cannot explain the result.
