Bali Villa Bookkeeping FAQ: Costs, Records and Reports
Bali villa bookkeeping questions answered: monthly costs, Airbnb reconciliation, cash flow, missing receipts and working with your manager or tax adviser.

Straight answers on package fit, source documents and what bookkeeping support does—and does not—cover.
What do the monthly packages cost?+
The published prices are Rp 2,900,000, Rp 4,900,000 and Rp 6,900,000 per month. Scope, limits and price basis are confirmed before agreement. See what each monthly package includes.
What will I receive each month?+
Depending on the selected package and agreed scope, this may include bookkeeping, a P&L, owner reporting, reconciled channel records, schedules and a list of open questions. See how the monthly villa reporting pack is prepared.
Can you work with our existing villa manager?+
Yes, the document workflow can include an owner or manager contact. Responsibilities and who supplies or approves information are agreed at intake.
What if receipts or statements are missing?+
We identify gaps and request clarification. Unsupported figures are not made up; a historical cleanup can be reviewed where there is a backlog. See how a historical cleanup is scoped.
How long does onboarding take?+
Timing depends on records, channels and agreed scope. We confirm a practical start after reviewing the setup; no standard duration is promised.
What documents should I prepare?+
Usually the useful starting set includes bank exports, OTA statements, booking details, invoices, receipts and any owner-funding notes relevant to the work. Never attach financial records to the public form.
Can you handle several villas?+
We can discuss the records and reporting scope. Do not assume a per-villa basis or a particular property limit; confirm applicable limits and pricing before agreement.
Do you require a particular accounting platform?+
The exact software and export workflow should be agreed for your setup. No software fee or required platform is assumed by this page.
Do you access or control my bank or OTA accounts?+
No bank control, payment authority or direct OTA integration is implied. Bookkeeping uses agreed documents or exports provided by the client. See how OTA records are reconciled without account access.
Do you support tax compliance or tax planning?+
Yes. Our qualified in-house team offers separately scoped tax-compliance and planning engagements. The responsible professional and any authorised submission work are confirmed before agreement. These services are not automatically included in monthly bookkeeping fees. See how tax compliance is scoped separately.
When are reports delivered?+
The 15th is a target after complete, timely source documents arrive. It is not a guaranteed delivery date.
How do I get started?+
Send a short enquiry with property count, location and the main record question, or contact us directly on the verified WhatsApp number. Use the enquiry form.
Can you help set up a PT PMA company in Bali?+
Yes. Our in-house team supports company-formation planning and registration administration. Activities, ownership information, required professional execution and connected licensing or tax-registration work are reviewed and separately scoped. See the PT PMA company formation scope.
Do you offer tax compliance and tax-planning support?+
Yes, through separate engagements with our qualified in-house team. We confirm the responsible professional, evidence, preparation and any authorised submission work. Tax support is not automatically included in monthly bookkeeping fees, and savings are not guaranteed. See what tax compliance and planning engagements include.
Can you help with visas and Investor KITAS?+
Our in-house team supports document preparation and agreed application administration. Eligibility and permitted activities require a case-specific assessment; company formation does not automatically produce a visa, and authorities decide applications. See the Investor KITAS document support scope.
Is company formation, licensing or visa support included in your monthly price?+
Not automatically. These projects receive separate written scopes and quotations, identifying professional fees, applicable government charges and third-party work rather than assuming the bookkeeping price covers everything. Compare the service scopes.
Why does my Airbnb payout differ from the booking revenue?+
A booking amount, platform settlement and bank receipt describe different stages. Fees, refunds, adjustments, currency and payout timing can explain differences, but the actual platform statement must support the explanation. Match the booking and payout references to the bank rather than treating an unsupported difference as a fee. See how Airbnb payouts are reconciled.
Why is my villa's profit different from the cash in the bank?+
An operating report and a cash movement schedule answer different questions. Settlements may arrive after the booking period; invoices may be paid later; and owner funding or withdrawals can change cash without being operating income or cost. Review the documented movements alongside the P&L. See how the P&L and the cash schedule differ.
How should shared costs across several villas be recorded?+
Keep direct invoices linked to the relevant villa. For shared staffing, maintenance or other costs, agree and document an allocation basis and keep changes identifiable. A combined portfolio total should retain the property-level detail needed for owner review. The correct treatment depends on the actual arrangements. See the villa chart of accounts.
Is catch-up bookkeeping included in the monthly package?+
Do not assume so. Historical cleanup is reviewed and scoped separately unless expressly agreed. Identify the overdue periods, accounts, channels and available evidence so the backlog can be assessed independently of recurring monthly work. See how catch-up bookkeeping is scoped.
Is a villa manager's statement enough for monthly bookkeeping?+
It can be a useful starting input, but an agreed reconciliation also needs the supporting booking, settlement, bank and expense records. Confirm who supplies each source and who answers questions about owner payments, shared invoices or missing documents. See what a monthly engagement requires.
Can the monthly records help my Indonesian tax adviser?+
An agreed handover can organize the ledger, reconciliations, source invoices and owner-funding schedules for a licensed Konsultan Pajak to review. The adviser determines tax treatment and filing requirements. A bookkeeping pack is not a tax return, an audit or a guarantee of compliance. See the PT PMA bookkeeping handover pack.
Ask questions about evidence, not only report appearance
A report can look polished while leaving its property coverage or source records unclear. Ask which bank accounts and booking channels are included, how fees and refunds are reconciled, and where missing invoices are listed. A useful answer should explain the workflow and responsibility for follow-up, not simply promise clean books regardless of the evidence.
For several villas, ask how direct costs and shared invoices are assigned. For a PT PMA, confirm the entity covered and the schedules needed by the licensed tax adviser. For staff costs, distinguish record tracking from payroll execution and statutory submissions. Those differences affect service fit and should be settled before selecting a package.
Use the guides to prepare a more specific question
If cash and profit seem inconsistent, compare the owner report with the cash-flow guide. If the books are behind, make a period-by-period list of the statements available. If supplier expenses are hard to allocate, review the expense-tracking workflow. A specific example of the record problem helps Client Advisory discuss the work more accurately than a request to fix everything without seeing the scope.
