Airbnb Bookkeeping for Bali Villas
Airbnb bookkeeping connects each short-term rental booking with its fees, refunds and eventual bank deposit. We reconcile records supplied from Airbnb, Booking.com, Agoda, VRBO and direct bookings, keeping gross rental income and payout timing visible in your Bali villa books.

Who it helps
Airbnb bookkeeping for owners and operators
Remote villa owners and operators using one or more booking channels who need to understand how a stay became a bank deposit.
The questions this service addresses
Payouts can land on different dates, combine several reservations, include deductions or refunds, and cross a reporting month. Looking only at deposits can make revenue and cash timing difficult to explain.
What may be included
- Record and categorize booking revenue using the source information supplied
- Compare OTA statements or exports with booking detail and bank deposits
- Record platform commissions, adjustments, refunds and unresolved differences
- Include direct-booking schedules where those records are supplied
- Carry documented exceptions into the agreed monthly report
What to prepare
Useful inputs for a first review
We agree an appropriate, practical document handover after the initial scope conversation. The public enquiry form is only for contact details and a high-level description—please do not upload financial records there.
- Reservation and payout exports from each active platform
- Bank transaction export or statements for the relevant period
- Direct booking and refund records, if applicable
- The owner's notes on deposits received outside the period
Illustrative payout bridge — fictional figures
Assume the platform statement shows Rp 100,000,000 in gross bookings. Rp 15,000,000 is platform commission and Rp 2,000,000 is refunds or other adjustments, leaving Rp 83,000,000 due. The bank shows Rp 80,000,000 received, so Rp 3,000,000 remains a timing or exception item to investigate. The deposit alone does not show the gross booking activity.

Workflow and timing
From records to review
- 01Agree which channels, periods and source exports are in scope.
- 02Match reservation and payout lines against bank receipts; document timing differences.
- 03Ask the owner or manager about unclear items; do not replace missing evidence with assumptions.
- 04Include reconciled totals and unresolved items in the agreed monthly pack.
Timing: Timing depends on the agreed close calendar and when complete, usable source records arrive. Delivery by the 15th is a target after complete and timely source documents—not a guaranteed date.
Price and boundaries
Agree the basis before starting
Monthly channel reconciliation is included according to the selected package's stated scope. Current package prices are Rp 2,900,000, Rp 4,900,000 and Rp 6,900,000 per month. Confirm the price basis, transaction volume and exact limits before agreement; those details are not assumed here.
- Direct OTA account access or platform integrations are not promised; work uses exports or statements provided by the client.
- We do not control bank accounts, authorize transfers or pay suppliers.
- Tax advice, legal advice and official filings are outside scope.
Questions
Before you begin
Do you connect directly to Airbnb or Booking.com?+
No direct integration is promised. We work from the records and exports agreed during intake.
What if a payout is different from the bank deposit?+
We record the visible difference and ask for the relevant statement or explanation. Unresolved timing or evidence gaps remain identified in the report.
Can you reconcile direct bookings too?+
Yes, where booking schedules and supporting receipts are supplied and included in the agreed scope.

Send a short enquiryShort-term rental accounting: bookings are not bank deposits
A reservation, a guest payment, a platform payout and a bank receipt describe different events. Airbnb bookkeeping needs a reference trail between them. Keep stay dates, payout dates, commissions and refunds identifiable so a month-end review can explain both rental activity and cash timing.
For Booking.com and other OTAs, retain the statement that explains each settlement. Match its net amount to the bank and list differences rather than treating every deposit as new rental income. This document-based workflow can be agreed with your existing villa manager; it does not require giving us payment authority.
Still deciding between options? The comparison sets out what each model produces, and where it breaks.

A practical Airbnb and Booking.com reconciliation checklist
Supply the reservation detail, platform transaction or payout report, and bank evidence for the agreed period. Keep the booking reference, property, stay dates, payout reference, currency and gross amount identifiable. Show the platform fee, refund or adjustment separately rather than only sending the final net deposit. A settlement covering more than one reservation needs a schedule explaining its components.
Next, check the reporting cutoff. A stay in one month may settle in the next; a cancellation can produce a later adjustment; and a payout may reach the bank after the platform marks it released. Keep outstanding items in a dated reconciliation list so the following month's review can check what cleared. An unresolved difference is a question to investigate, not an automatic accounting correction.
Direct bookings and multi-channel vacation rental records
For direct reservations, retain the booking schedule, deposit evidence and any refund approval. Distinguish a bank transfer between your own accounts from a guest receipt. For multiple villas, use a consistent property reference across booking exports and expenses so the owner report remains traceable even when one manager handles all channels.
Agree how foreign-currency transactions and bank charges will be documented before the monthly close. Do not assume a missing amount is an exchange-rate difference without supporting evidence. We use the statements and exports supplied; no direct platform integration, account control or automatic detection of every booking is promised.

Airbnb bookkeeping and payout reconciliation
A platform payout is not guest revenue. Airbnb bookkeeping should explain bookings, cancellations, refunds, withheld reserves, fees and the eventual bank receipt without counting transfers twice. The pillar guide at /airbnb-ota-reconciliation-bali owns the full workflow.
