Booking.com commission invoice reconciliation for Bali villas starts with a simple discipline: never let a commission invoice float free of the reservations that created it. Booking.com pays out on its own calendar, invoices commission in batches, and may adjust earlier reservations when guests cancel, shorten a stay or fail to show. If those invoices are recorded as one monthly lump, your channel cost may be wrong, your revenue may be incomplete, and the difference can quietly migrate into whatever total is needed to make the month balance.

This checklist explains how to match Booking.com invoices to reservations, payout records and bank receipts. It is written for Bali villa owners, remote investors, PT PMA operators and villa managers who need records that can be understood by an owner, bookkeeper or responsible adviser. For wider platform work, see our accounting and villa bookkeeping services and the detailed guide to reconciling Airbnb and Booking.com payouts.

Why Booking.com reconciliation needs more than a bank match

A bank statement shows when money reached the account. It does not, by itself, explain which stays generated the money, which commission was deducted, whether a cancellation changed the booking value, or whether part of the payout was released after month-end. Booking.com records usually separate several events:

These are related, but they are not interchangeable. A villa can have a completed stay in one month, receive the corresponding payout in the next month and receive a commission invoice covering several different stay dates. A bank-only process will often treat the receipt as revenue and leave the underlying timing and cost unexplained.

Commission reconciliation is therefore one bridge inside the wider monthly close. It should connect the reservation export to the ledger, the ledger to the owner report and the owner report to supporting evidence. The wider principles are also relevant to resolving unmatched villa bank transactions: name each difference, date it, assign responsibility and avoid absorbing it into a miscellaneous balance.

Who should use this checklist?

This workflow applies whether Booking.com collects the guest payment and remits the balance, or the property collects the guest payment and Booking.com invoices commission afterwards. It is also useful when Booking.com operates alongside Airbnb, Agoda, VRBO or direct bookings.

Extra care is needed when one manager runs several villas through one extranet account. The account may balance in total while one property has been allocated too much revenue or too much commission. Reconcile by property first, then let the combined account total become the sum of the property schedules.

Before starting, confirm the reporting period and the accounting basis used for the monthly close. Do not change the period simply because an invoice arrived late. Instead, record the invoice date separately from the reservation or stay period it relates to, and document any timing treatment used in the books.

Step 1: Build the reservation population

Start with the reservation list, not the invoice and not the bank statement. Export the relevant Booking.com reservation or financial records before reviewing individual charges. Keep the original file unchanged, then work from a copy or controlled reconciliation schedule.

At minimum, retain these fields:

Cancelled, modified and no-show reservations should remain visible. Removing them from the working list is a common reason that a later commission credit or reversal cannot be explained. If the extranet does not contain the internal property reference used in the accounting records, add that reference in a controlled working column. It should be possible to trace a line from the platform export to the property ledger and then to the owner report without relying on memory.

Step 2: Collect the financial evidence

Next, download the Booking.com payout or financial overview for the same close and collect the commission invoices issued during the review. Also obtain the bank statement or transaction listing showing the relevant receipts. These documents answer different questions:

File these documents together, but do not treat them as duplicates. A payout statement is not a commission invoice, and a bank receipt is not a reservation report. If a payment covers multiple properties, retain the platform detail and prepare an allocation schedule rather than posting the whole receipt to the first villa that appears in the bank feed.

Where platform records are unavailable, record the missing document as an exception. Do not recreate a commission amount solely from the difference between a gross booking total and a bank receipt if other deductions or timing items may be involved.

Step 3: Match commission invoices to reservations

For each commission invoice, identify the reservation references included in the charge. Compare the invoice lines with the reservation population and check the following:

  1. Does the reservation exist in the export?
  2. Does the property or villa allocation agree with the accounting records?
  3. Does the booked value agree with the platform detail?
  4. Were cancellations, no-shows or shortened stays reflected?
  5. Were extensions or modifications reflected?
  6. Does the invoice total agree to the sum of the matched lines?
  7. Are any lines outside the intended reporting period?

An invoice may cover stays from an earlier period. The invoice issue date is useful evidence, but it does not automatically explain the period in which the underlying reservation activity belongs. Follow the accounting policy and monthly close agreed for the records, and retain a note where invoice timing differs from stay timing.

Commission should normally remain identifiable as a separate channel cost in the bookkeeping records rather than disappearing inside a net bank receipt. That gives the owner two useful views: the value generated through Booking.com and the cost of obtaining that booking. It also makes channel comparisons more meaningful.

If commission is deducted before a payout, show the deduction in the payout bridge. If commission is invoiced and paid separately, match the bank payment to the invoice rather than to an individual reservation. Avoid matching one payment to a booking simply because the amounts happen to be similar.

Step 4: Reconcile cancellations, modifications and no-shows

Many differences appear after the original reservation was created. A guest may shorten a stay, receive a refund, pay a no-show charge, or have a reservation cancelled under terms that change the amount due. A virtual-card charge may also fail, be reversed or be released on a different date.

Each event can affect both the villa's booking value and the commission base. Keep the updated reservation record, approval, message reference or other available evidence beside the adjustment. The purpose is not to create unnecessary paperwork; it is to show why the amount changed and who confirmed the change.

Checklist: adjustment control

Carry unresolved items on a dated exceptions list. Include the reservation reference, property, expected value, invoiced value, difference, evidence held and next action. Clear the previous period's list before opening the new month. An item that remains unexplained over multiple closes should be visible as a control issue, not silently included in a miscellaneous adjustment.

Illustrative IDR reconciliation example

Illustrative example only: the figures below are hypothetical and do not represent a client result, Booking.com standard or tax calculation. They show how a payout bridge can explain a bank receipt without treating the receipt as the whole revenue figure.

The bank statement alone would show IDR 47,500,000. The reconciliation gives the owner a fuller explanation: the villa had IDR 60,000,000 of adjusted Booking.com bookings in the schedule, commission of IDR 9,000,000 was identified separately, and IDR 3,500,000 remained a documented timing item at month-end. Those figures support different decisions about pricing, channel mix and cash planning.

Common errors in Booking.com commission records

Recording the bank receipt as revenue

This can understate gross booking activity and hide the commission cost. It can also make a delayed payout look like a decline in demand. The receipt should be connected to a payout bridge and the underlying reservation records.

Posting every invoice in the month it arrives

An invoice received this month may relate to stays or reservation activity from an earlier period. Match the invoice to its reservation references and document the period treatment used in the close.

Deleting cancelled reservations

Deleted lines remove the history needed to explain later credits, reversals and commission adjustments. Keep the line and change its status.

Reconciling only at account level

A shared extranet account can appear correct while one villa subsidises another. Allocate revenue, commission and timing items per property before reviewing the combined total.

Leaving no evidence trail

Without the export, invoice, payout record and adjustment explanation, a reviewer cannot walk from the owner report back to the individual stay. A clear evidence trail helps the responsible qualified adviser assess the records later, but bookkeeping records themselves do not determine tax treatment.

Put the process on a monthly close calendar

Commission reconciliation is more reliable when it is completed monthly rather than treated as an annual reconstruction. A practical sequence is:

  1. Close the reservation period and export the platform records.
  2. Collect commission invoices, payout statements and bank evidence.
  3. Match reservations and commission by property.
  4. Review cancellations, no-shows, refunds and modifications.
  5. Bridge gross booking value to commission, deductions and expected payout.
  6. Match the expected payout to the bank receipt.
  7. List and assign unresolved items.
  8. File the completed schedule with the monthly bookkeeping evidence.
  9. Carry only documented timing items into the next period.

This rhythm also makes owner reporting easier. A report can distinguish booking performance, channel cost, cash received and amounts still expected. For broader reporting support, see our villa financial reporting service and the sample owner report.

What to ask before outsourcing the reconciliation

Before agreeing a bookkeeping scope, ask how platform reservations will be allocated between properties, what documents must be supplied each month, how unresolved items will be reported and whether historical backlogs are included. Also ask whether the work covers only bookkeeping records or extends into tax, company, licensing or visa work.

Bali Accounting can discuss ongoing bookkeeping and separately scoped project work through the Client Advisory team. Monthly bookkeeping prices do not automatically include company formation, licensing, tax registration, tax-compliance, tax-planning or visa-application work. Where those services are requested, they require their own agreed scope. Tax advice and official filings should be handled by the responsible licensed Indonesian Konsultan Pajak within the relevant engagement.

Frequently asked questions

Should Booking.com commission reduce villa revenue?

For management reporting, keeping gross booking value visible and recording commission as a separate channel cost generally provides a clearer view of both performance and distribution cost. The appropriate accounting and tax treatment can depend on the entity and arrangements, so this workflow should not be treated as tax advice.

What if a commission invoice covers last month's stays?

Match the invoice to the reservation references and record it according to the agreed monthly close and accounting policy. Keep the invoice date separate from the stay or reservation period so the timing difference remains visible.

Can one Booking.com account serve several villas?

Yes, but the reconciliation should identify the property for every reservation, commission line and payout allocation. Reconcile each property first and review the account total afterward.

What evidence should be retained?

Keep the reservation export, commission invoice, payout or financial overview, bank evidence and available cancellation or adjustment support. A dated exceptions list should be retained for items that cannot yet be matched.

Is this work included in monthly bookkeeping?

Channel reconciliation can be included where it is part of the agreed monthly bookkeeping scope and the required platform records are supplied. Historical backlogs and reconstruction work are reviewed separately. Compare the relevant deliverables through our pricing and package information.

Scope and next steps

This article is general information about a bookkeeping workflow. It is not individual tax advice, legal advice or a filing service. Booking.com commission treatment, accommodation-tax records and income-tax positions depend on the entity, contracts and operating arrangements. Discuss those questions with the responsible licensed Indonesian Konsultan Pajak.

Bali Accounting reconciles records supplied by the owner or manager. No direct platform integration, bank control or payment authority is promised. If your team needs a recurring process for Booking.com and other channels, review the Airbnb and OTA bookkeeping service or the wider service options. If historical commission batches, missing exports or unexplained payout differences have accumulated, ask the Client Advisory team about a separately scoped villa bookkeeping cleanup.
