Catch-Up Bookkeeping: How to Build a Missing-Document Register

A practical method for listing, prioritising and resolving missing villa bookkeeping documents before reconstructed records are treated as reliable.

For catch up bookkeeping, a missing document register is the control list that shows what is absent, what can be verified elsewhere, who must provide it and how unresolved items affect the accounts. Build it before entering large batches of historic transactions. The register turns a vague backlog into a dated evidence trail, reduces duplicate requests and helps an accountant distinguish confirmed records from reasonable but unproven assumptions.

Who this applies to

This approach is intended for Bali villa owners, operators, management companies and company administrators who need to reconstruct records after a change of bookkeeper, a period of do-it-yourself administration, incomplete handovers or several months of unfiled source documents. It is particularly useful where income comes through several channels, including Airbnb, Booking.com, Agoda, VRBO, direct bank transfers and cash collections.

It also applies when the books exist but cannot be trusted. A spreadsheet may contain every bank transaction and still omit platform fees, refunds, owner funding, supplier invoices or transfers between accounts. A register gives each gap a place and a next action rather than allowing the missing evidence to disappear inside a suspense account or a broad “miscellaneous” category.

The register is an accounting control, not a substitute for professional advice. It does not decide whether an expense is allowable, how a transaction should be treated under Indonesian rules or whether a filing is required. Those questions should be referred to the responsible licensed adviser. Preparation and submission work should be separately agreed and is not automatically included in a monthly bookkeeping engagement.

What a missing-document register should contain

Use one row for each missing item or clearly defined group of identical items. A useful register connects the document request to a transaction, period, account and responsible person. Avoid a single line reading “2024 receipts missing”; it is too broad to manage and impossible to test properly.

Keep the original request, the response and the final supporting file together. If a document cannot be obtained, record the alternatives checked, the amount affected and the reason the item remains unresolved. “Not available” is a status, not an explanation. A future reviewer should be able to understand what was missing without relying on the memory of the person who rebuilt the books.

Build the register in a controlled sequence

1. Define the scope and cut-off

Write down the entity, property or properties, accounts, platforms and period being rebuilt. State the opening date and closing date. Include bank accounts, e-wallets, payment processors, petty cash and any management-company statement used to report owner activity. If two villas share an account, make that fact visible at the start; otherwise a complete bank statement may still be insufficient to allocate transactions correctly.

Separate the bookkeeping period from any tax or legal reporting period. The register can identify evidence gaps, but it should not silently turn an accounting reconstruction into a tax conclusion. If the period overlaps a change in entity, owner or management agreement, create separate sections and ask an adviser how the boundary should be handled.

2. Gather the evidence that exists

Collect bank statements in their original downloadable format where possible, platform reservation and payout reports, management statements, supplier invoices, payroll summaries, utility bills, loan schedules, card statements and records of owner transfers. Preserve file names and dates. Do not begin by asking for every receipt from every supplier; first determine what the bank and platform records already prove and where they disagree.

Mark each source as received, incomplete, unreadable, exported without detail or awaiting confirmation. A PDF showing one net deposit may prove that money reached the bank, but it may not explain the booking dates, commission, refund or reserve included in that deposit. That distinction belongs in the register.

3. Reconcile high-value control points first

Start with closing bank balances, platform payouts, inter-account transfers and owner funding. These items often explain why the ledger does not agree to cash. Next review recurring suppliers, payroll-related records, utilities, repairs and larger capital purchases. Finally address low-value receipts and minor classification questions.

Priority should reflect consequence, not merely amount. A missing statement for a low-volume bank account can block the whole reconciliation. A missing invoice may affect only one expense line. Record that difference so the owner understands why one request is urgent and another can wait.

4. Request evidence with precise language

Each request should state the period, transaction reference, expected amount, preferred format and acceptable alternative evidence. For example: “Please provide the Booking.com payout detail for 1–31 March, including reservation reference, guest charge, commission, adjustments and net payout.” This is more useful than “send Booking.com documents.”

Use a status vocabulary such as Open, Requested, Partially received, Received, Matched, Exception and Closed. Do not mark a row closed merely because someone sent a screenshot. Close it when the evidence has been reviewed, linked to the accounting entry and any difference has been explained.

5. Preserve unresolved items

Do not fill every gap with an invented invoice number, an unsupported date or an estimate presented as fact. If a transaction must be recorded temporarily so the bank can be reconciled, label the entry clearly and link it to the register reference. The final treatment should be determined after the responsible accountant or adviser reviews the available evidence.

Unresolved items should appear in the handover report. Include the number of open rows, total amounts affected by category, periods covered, responsible owners and the next request date. A short, honest exception list is more valuable than a report that appears complete but conceals assumptions.

Illustrative IDR worked example

Assume a villa’s March bank statement shows three platform deposits and one direct booking receipt. The available records are:

Illustrative reconciliation target
ItemAmountEvidence available
Platform payout AIDR 12,600,000Bank line only
Platform payout BIDR 8,400,000Detailed payout report
Platform payout CIDR 6,750,000Bank line only
Direct booking receiptIDR 4,250,000Guest transfer screenshot
Total observed receiptsIDR 32,000,000

The arithmetic is straightforward: IDR 12,600,000 + IDR 8,400,000 = IDR 21,000,000; IDR 21,000,000 + IDR 6,750,000 = IDR 27,750,000; and IDR 27,750,000 + IDR 4,250,000 = IDR 32,000,000. This is a reconciliation target only. It is not a tax calculation and does not establish the correct revenue treatment.

The register might contain four rows, but the rows do not have equal evidence quality. Payout B can be matched to its detailed platform report. Payouts A and C require the relevant platform statements to identify booking activity, fees, refunds or adjustments. The direct receipt requires confirmation of the booking, the payer and whether the screenshot corresponds to the bank line. Until those checks are completed, the total is observed cash, not necessarily a fully supported revenue schedule.

If the bank statement shows a fifth unexplained credit of IDR 1,100,000, add a separate row rather than forcing it into one of the four receipts. The register should show: “Unidentified credit, IDR 1,100,000, bank statement dated 28 March, request owner confirmation and supporting transfer record.” This preserves the difference between known cash and explained cash.

What owners get wrong

1. Treating the bank statement as the complete sales record

Correction: Use bank lines as a cash control, then obtain platform or booking detail to explain gross booking activity, fees, refunds, reserves and timing differences. A net payout can be accurate in the bank and still be incomplete for management reporting.

2. Combining all missing receipts into one estimate

Correction: Split requests by period, supplier, account and transaction where practical. If an alternative record is used, label it as alternative evidence and explain its limitation. Do not convert a guess into a document simply because the amount is plausible.

3. Closing the cleanup when the spreadsheet balances

Correction: A balanced spreadsheet is not proof that the categories, owner balances, property allocations and supporting documents are correct. Close the cleanup only after bank and platform control points are reviewed, exceptions are listed and opening balances are supported. The article bookkeeping cleanup opening balances guide explains why the opening position needs its own evidence trail.

Printable register and handover checklist

Copy this sequence into the front of the working paper or use it as a monthly catch-up review. Initial each completed step and retain the date.

  1. Define the entity, property, bank accounts, platforms and reconstruction period.
  2. Record opening and closing bank balances from source statements.
  3. List every platform, direct-booking channel, payment processor and cash process.
  4. Collect available statements before requesting individual receipts.
  5. Assign a unique reference to every missing or incomplete evidence item.
  6. Record date range, expected amount, currency, account and likely source.
  7. Classify each item as high, medium or low priority with a reason.
  8. Assign one responsible person and a next-request date.
  9. Match received evidence to the ledger, bank line or platform payout.
  10. Record differences, duplicate risks, timing issues and allocation questions.
  11. Keep owner contributions, withdrawals, transfers and operating receipts visibly separate pending review.
  12. List unresolved items in the handover report rather than hiding them in a generic category.
  13. Obtain a closing review of the reconstructed period and opening balances.
  14. Agree the recurring document-collection routine that will prevent the backlog returning.

A practical register also benefits from a simple folder structure: one folder for bank and payment accounts, one for booking platforms, one for suppliers and operating costs, one for owner and inter-company movements, and one for unresolved exceptions. Use a consistent file name containing the period, source and register reference. That structure makes later review faster without pretending that filing alone proves the accounting treatment.

For platform-specific issues, compare the register with the discussion in Airbnb bookkeeping for refunds, cancellations and reserves. Where a backlog affects multiple properties, bank accounts or ownership balances, Bali Accounting’s villa bookkeeping cleanup service can be considered as a separately scoped project. Any preparation or submission work remains subject to a separate engagement and the responsible authorised person.

Frequently asked questions

What is a missing-document register?

It is a controlled list of absent, incomplete or unverified evidence items. Each row identifies the period, transaction or balance affected, expected source, amount where known, responsible person, status and resolution note.

Should I wait for every receipt before starting catch-up bookkeeping?

No. Start by collecting bank, platform and management records, then identify the specific gaps. Work can proceed on supported items while unresolved items remain clearly flagged and are not presented as confirmed.

Can a screenshot replace an invoice or platform statement?

Sometimes it may provide useful alternative evidence, but its limitations should be recorded. A screenshot may omit the date, counterparty, booking detail, fee or transaction context needed for proper review.

How should owner transfers appear in the register?

List them separately from rental receipts and supplier payments. Record the sending account, receiving account, date, amount, currency and available transfer reference, then ask the responsible adviser how the balance should be classified.

When is a catch-up cleanup complete?

It is complete when the agreed period and accounts have been reviewed, control balances are reconciled, material evidence gaps are resolved or documented, opening balances are supported and the remaining exceptions are formally handed over.
