Tax compliance
Preparing Records for a Bali Tax Consultant: The Evidence Pack
A practical evidence-pack framework for Bali villa owners preparing company, property, bank, platform and owner-funding records for a tax consultant.
By Bali Accounting editorial desk · Editorial updated 2026-10-27. General information, not a claim of licensed professional review.
Tax consultant bali records preparation is the process of assembling organised, traceable evidence before a consultant assesses your position. For a Bali villa, that usually means property-level income records, bank statements, platform reports, supplier invoices, payroll evidence, owner-funding schedules, contracts and a list of unresolved items. The pack does not decide your tax treatment; it gives the responsible adviser a reliable basis for questions, advice and any separately agreed compliance work.
Who this applies to
This guide is for owners, directors, remote investors and property managers preparing records for a consultant in Bali or elsewhere in Indonesia. It is especially relevant where:
- A villa receives bookings through Airbnb, Booking.com, direct reservations or several channels.
- A manager collects guest money, pays suppliers and sends an owner statement.
- One company operates several villas or several owners share costs.
- An owner has funded the business from a personal account or paid expenses directly.
- Records are held across bank apps, email, cloud folders, spreadsheets and messaging applications.
- A new adviser is taking over from an existing accountant, bookkeeper or manager.
It also applies when the business is not a PT PMA. The adviser will need to understand who earned the income, who incurred the cost, which account received the money and which documents support each conclusion. Those are record questions, not assumptions about structure, residence, permissions or tax treatment.
Owners often send a folder called “tax documents” containing bank exports and a few invoices. That is a starting point, not an evidence pack. A useful pack connects transactions to dates, properties, counterparties and business purpose. It also identifies what cannot yet be supported, rather than disguising a gap with a guessed description.
What the evidence pack should contain
Start with an index. Give every folder a period, entity or property label and a consistent naming convention, such as 2026-08-Villa-A-OTA-report. Keep original files where possible; do not rely only on screenshots or manually retyped totals. If a report is downloaded from a platform, retain the report and note the account, currency and period covered.
| Section | Useful records | Control question |
|---|---|---|
| Identity and structure | Entity details, bank-account list, ownership or management agreements, property list | Who owns, operates, collects and pays? |
| Income | Booking exports, direct invoices, deposits, cancellations, refunds and platform statements | Can reported income be traced to bookings and receipts? |
| Bank and cash | Complete statements, transfer confirmations, petty-cash records and reconciliation schedules | Does every material movement have an explanation? |
| Costs | Supplier invoices, receipts, contracts, utility records and payment evidence | Is the payee, purpose, period and property clear? |
| People | Payroll summaries, staff agreements, payment records and expense claims | Can personnel payments be distinguished from contractor costs? |
| Owner balances | Funding schedule, withdrawals, reimbursements and personal payments on behalf of the business | Is owner money separate from operating revenue? |
| Exceptions | Missing-document register, disputed items, unexplained transfers and questions | What still needs evidence or professional judgement? |
For a company, add a short explanation of the chart of accounts and any changes during the period. A consultant should not have to infer whether “miscellaneous” means maintenance, a transfer, an owner withdrawal or an asset purchase. A practical chart of accounts is discussed in the Bali villa chart of accounts guide.
For platform income, include the booking or transaction report, the platform fee detail, refunds, cancellations, withheld reserves and the eventual bank payout. A bank deposit alone may be a net amount and may not explain the underlying booking activity. The Airbnb payout reconciliation guide explains the record trail without treating a payout as a complete revenue record.
Build a reconciliation trail, not just a document pile
Reconciliation is the bridge between source documents and the accounting records. For each bank account, obtain statements for the entire requested period, including opening and closing balances. Compare the statement to the ledger or bookkeeping export. List unmatched deposits, duplicated expenses, transfers between accounts and payments that appear in the books but not on the statement.
Use the same principle for booking platforms. A simple schedule can include booking reference, stay dates, gross guest charge, refund or cancellation, platform fee, reserve or adjustment, expected payout, bank receipt date and bank receipt amount. Where the platform report uses a different currency or settlement date, record that difference for the adviser rather than forcing the amounts to agree.
Owner statements need their own bridge. A management statement may show guest receipts, management fees, operating expenses, reserves and an amount payable to the owner. Compare it with the bank movement and the underlying invoices. If the manager paid a supplier from a pooled account, identify the allocation method and retain the supporting schedule.
Shared costs deserve particular care. A utility invoice covering two villas should not be assigned entirely to whichever property appears first in a spreadsheet. Record the total invoice, the allocation basis and the portion assigned to each property. The basis might be metered use, occupied nights, floor area or another documented method; the responsible adviser can assess whether it is appropriate for the relevant purpose. See the shared-cost allocation workflow for a practical record format.
Illustrative IDR worked example
The following is a bookkeeping illustration only. It shows how a reconciliation can explain a net bank receipt; it is not a tax calculation and does not establish how any item should be treated for tax.
Assume Villa A has one platform booking with a guest charge of IDR 18,000,000. The platform refunds IDR 2,000,000 after a cancellation adjustment and charges a platform fee of IDR 1,600,000. It also withholds IDR 400,000 temporarily as a reserve. The expected bank payout is therefore:
- Gross guest charge: IDR 18,000,000
- Less refund: IDR 2,000,000
- Less platform fee: IDR 1,600,000
- Less temporary reserve: IDR 400,000
- Expected payout: IDR 14,000,000
The arithmetic is: IDR 18,000,000 − IDR 2,000,000 = IDR 16,000,000; IDR 16,000,000 − IDR 1,600,000 = IDR 14,400,000; IDR 14,400,000 − IDR 400,000 = IDR 14,000,000. If the bank statement shows IDR 14,000,000, the reconciliation explains the deposit without recording a second income event for the bank receipt.
Suppose the same month includes a shared electricity invoice of IDR 3,000,000. The documented allocation assigns IDR 1,800,000 to Villa A and IDR 1,200,000 to Villa B. The allocation checks because IDR 1,800,000 + IDR 1,200,000 = IDR 3,000,000. The pack should contain the original invoice, the allocation schedule, the basis used and the payment evidence. It should not merely contain two rounded expense entries with no connection to the supplier invoice.
If an owner then transfers IDR 10,000,000 into the company bank account, label it as owner funding pending confirmation of its nature. Do not add it to booking income simply because it increases cash. The consultant may need the agreement, capital or loan records, correspondence and the company’s accounting treatment before advising further.
What owners get wrong
1. Correction: do not send only bank statements. Bank statements show movement, not always the reason for movement. Pair deposits with booking, platform or invoice records and pair payments with supplier evidence. Where a transaction cannot yet be matched, put it on an exceptions list with the date, amount, account and best available description.
2. Correction: do not treat owner money as villa income. Owner funding, reimbursements, withdrawals and expenses paid personally need separate labels and a running schedule. Include transfer references and a short explanation. If several owners are involved, show the person, date, amount, currency and balance by owner. The guide to separating owner funding from rental income gives more detail on this distinction.
3. Correction: do not overwrite gaps with estimates. A guessed supplier name, reconstructed invoice or unsupported monthly total can make a spreadsheet look complete while weakening its evidence. Mark the item as missing, request a duplicate, attach available payment proof and state what remains uncertain. If a historical reconstruction is needed, preserve the source used and the assumptions in a separate note.
A fourth frequent mistake is mixing periods. A booking may relate to one month, be paid by a platform in another and reach the bank in a third. Preserve all relevant dates. The consultant can then assess the appropriate accounting and reporting treatment instead of relying on whichever date was easiest to find.
A practical handover workflow
- Agree the scope and period. Confirm the entity or individual, properties covered, currencies, start date, end date and whether the consultant is providing advice, preparation, review or submission work.
- List every money channel. Include bank accounts, cash, payment gateways, OTA accounts, manager-held funds and personal accounts used for business payments.
- Collect source records. Download statements, booking exports, invoices, contracts, payroll summaries and owner schedules. Keep originals and note missing months.
- Reconcile by channel. Tie bookings to platform settlements, platform settlements to bank receipts and supplier records to bank payments.
- Separate properties and parties. Use property codes, owner codes and entity codes. Document shared-cost allocations rather than burying them in a combined total.
- Prepare an exceptions register. Include missing documents, duplicate entries, unexplained transfers, disputed charges, currency differences and questions requiring judgement.
- Review the index. Check that each file opens, periods are complete, totals agree to the bookkeeping export and sensitive documents are shared through an appropriate channel.
- Write a one-page context note. Explain the operating model, management arrangements, recent changes, unusual transactions and decisions still pending.
For an ongoing monthly process, set a cut-off for receiving records and retain a consistent folder structure. A month-end record-collection workflow can reduce the rush before an adviser asks questions. It should still allow late invoices and corrections to be logged transparently rather than silently inserted into a closed period.
If prior books are incomplete, separate cleanup from the adviser handover. First establish what can be supported, what has been reconstructed and what remains unknown. The opening-balance cleanup guide explains why an evidence-based starting point matters.

Bali Accounting can help organise bookkeeping records and prepare a structured handover within an agreed scope. Review the tax-compliance service page to distinguish record preparation from advisory or compliance work. If you need to discuss a Client Advisory scope, use the Client Advisory enquiry form; preparation and any submission work require the responsible authorised person and a separate engagement, not an automatic monthly-bookkeeping inclusion.

Frequently asked questions
What is the most important document in a Bali tax consultant evidence pack?
There is no single most important document. A complete bank statement is valuable, but it becomes useful when linked to booking reports, invoices, owner schedules and reconciliations. Start with a complete index and identify gaps rather than presenting isolated documents.
Should I send gross booking figures or only net payouts?
Send the underlying booking or platform report as well as the payout statement and bank receipt. Gross charges, refunds, fees, reserves and adjustments may explain why the bank amount differs from the booking amount. The consultant must decide the relevant treatment.
How should owner transfers be labelled?
Record the date, amount, sending account, receiving account, owner and purpose. Use a separate owner-funding or owner-withdrawal schedule rather than classifying every transfer as revenue or expense. Supporting agreements and correspondence may also be relevant.
What if supplier invoices are missing?
List the missing invoice in an exceptions register, retain payment evidence and request a duplicate from the supplier. Do not invent details or present an estimate as an original invoice. Note what is known, what is uncertain and who is responsible for resolving it.
Does preparing the evidence pack include tax filing?
No. Record organisation and bookkeeping support are distinct from tax advice, preparation and submission. Those services require a separately agreed scope and the responsible authorised person.
